Terms & Conditions - Asian Adventure Int'l Travels Ltd.

IMPORTANT: Please read these terms and conditions carefully. By completing and submitting a booking form or making a payment to Asian Adventure Int'l Travels Ltd., you agree to be bound by these conditions, which constitute the entire agreement between our company and you, the client.

These conditions apply to the exclusion of any other terms. They cover Booking Confirmation, Payment, Refund, Cancellation, and other policies. This is a legally binding contract. No previous dealings will vary these conditions, and no variation is valid unless agreed upon in writing and signed by an authorized manager of Asian Adventure Int'l Travels Ltd.

1. How to Book & Payment

To reserve any of our adventures—from global flight tickets and all-inclusive resort packages to specialized Himalayan treks, expeditions, and tours in Bhutan and Tibet—you must complete our Booking Application Form and submit it to our Canadian office via email.

Deposit Requirements:

  • 25% for trekking, tours, and standard packages
  • 30% for peak climbing and mountaineering expeditions

Please also submit scanned copies of all participants' passports and a passport-sized photograph. A second payment (25% for treks, 30% for expeditions) is due 30 days prior to your trip start date, with the final balance due upon your arrival in the destination country (e.g., Kathmandu for Nepal trips) or as otherwise specified in your itinerary.

Payment Methods:

We accept payments via bank transfer, credit card (Visa/Mastercard), and other online payment methods. All prices are quoted in US Dollars (USD) or Canadian Dollars (CAD) unless specified.

A 4% processing fee will be added to all credit card transactions. For bank transfer details, please contact our office directly. Full payment is required for any bookings made less than 30 days before departure.

2. Cancellation & Refund Policy

All cancellation notices must be submitted in writing. Our refund policy is structured as follows:

A. Trekking, Tours, & Standard Packages (e.g., Mexico, Cuba, Jamaica):

15-29 days before departure 60% cancellation fee
Less than 15 days before departure or no-show 100% cancellation fee (no refund)

B. Peak Climbing, Expeditions, & Specialized Tours (Bhutan/Tibet):

Note: Permits and insurance costs are non-refundable for these expeditions.

C. Flight Tickets & Car Rentals:

These are subject to the cancellation rules of the airline or rental agency, and fees can vary from partial to full forfeiture. Please inquire at the time of booking.

3. Client Responsibilities: Health, Insurance, & Documentation

Participating in our adventures, especially high-altitude treks and expeditions, requires good health and physical fitness. It is your responsibility to ensure you are medically fit for your chosen trip.

Travel Insurance: Comprehensive travel insurance is mandatory for all trips. Your policy must cover medical expenses, emergency evacuation, trip cancellation, loss of baggage, and, for climbing, mountaineering activities. You must provide proof of this insurance to us before departure.

You are also responsible for securing all necessary travel documents, including a valid passport (with at least 6 months' validity) and any required visas. Asian Adventure Int'l Travels Ltd. is not liable if you are denied entry due to non-compliance with these requirements.

4. Changes, Postponements, and Unforeseen Circumstances

Asian Adventure Int'l Travels Ltd. reserves the right to modify, postpone, or cancel any aspect of a trip due to hazardous conditions (weather, political unrest, natural disasters) or if group numbers are too low. In such an event, we will offer an alternative trip of similar standard or a full refund of monies paid to us. You will not be entitled to claim additional compensation for incidental expenses (e.g., visas, gear purchases).

True to our motto, "From the dream ocean to Mt. Everest," we pride ourselves on customizing any adventure dream for our valuable clients. However, if government-issued permits, flights, or insurance have been purchased and are non-refundable, you will be liable for these costs if you amend or cancel your booking.

5. Acknowledgement

By booking with us, you acknowledge that you have read, understood, and agreed to all these Terms and Conditions. You consent to the use of any images or video from your trip for promotional purposes by Asian Adventure Int'l Travels Ltd.

This agreement shall be governed by the laws of Canada and the province in which our company is based.
